1. Who we are

The controller responsible for your personal data is KlooBR.com, a member of Pensatica Limited Group, Fiscal ID 517215560, Travessa de São Pedro, nº 8, 1200-432 Lisboa, Portugal ("KlooBR", "we", "us").

This Policy explains how we collect, use and protect personal data when you visit KlooBR.com or use our Services. We process personal data in line with the General Data Protection Regulation (EU) 2016/679 ("GDPR") and Portuguese data protection law.

2. What data we collect

a) Data you give us

• Account data: name, email address, password (stored encrypted), country and, where applicable, company name.
• Billing data: billing name and address, tax ID (NIF/VAT) when provided, and order history. Card details are processed directly by our payment provider and are never stored by KlooBR.
• Content: manuscripts, texts and files you upload for processing, and the deliverables we generate from them. These may contain personal data, for example the author's name or details included in the work.
• Communications: messages you send to our support team.

b) Data collected automatically

• Technical and usage data: IP address, browser and device type, pages visited, and date and time of access, collected through cookies and similar technologies (see our Cookie Policy).

4. Your manuscripts and AI processing

• Your manuscripts are used only to deliver the Service you requested.
• Your manuscripts are never used to train artificial intelligence models, whether by KlooBR or by any of its technology providers.
• To deliver the Services, your content is processed through third-party AI providers under contractual terms that forbid using it for model training.
• We do not use your data for automated decision-making that has legal or similarly significant effects on you.

5. Who we share data with

We do not sell your personal data. We share it only with service providers that process it on our behalf and under our instructions, bound by data processing agreements:

• Hosting and cloud storage: Amazon Web Services (AWS)
• AI technology providers: OpenAI, Anthropic
• Payment processing: Stripe
• Email delivery: SendGrid
• Website analytics: Google Analytics
• Customer relationship and marketing: HubSpot
• Companies of Pensatica Limited Group, where needed to provide the Services
• Public authorities, where required by law

6. International transfers

Some of our providers are located outside the European Economic Area, in particular in the United States. In those cases, we make sure the transfer is protected by appropriate safeguards, such as the European Commission's Standard Contractual Clauses or certification under the EU–US Data Privacy Framework. 7. How long we keep data

• Account data: while your account is active, and for up to 2 years after it is closed or becomes inactive.
• Billing and invoicing data: for 10 years, as required by Portuguese tax law.
• Manuscripts and deliverables: while your account is active, so that you can download them and request support or a refund. After that, they are deleted.
• Marketing data: until you withdraw your consent.
• Support communications: for up to 2 years.

8. Your rights

Under the GDPR, you have the right to:

• access your personal data;
• correct inaccurate data;
• have your data deleted;
• restrict or object to processing;
• receive your data in a portable format;
• withdraw consent at any time, without affecting processing already carried out.

9. Security

We use appropriate technical and organizational measures to protect your data, including encryption in transit, access controls and secure infrastructure. No system is completely secure, but we work continuously to protect your information.

10. Minors

The Services are intended for users aged 18 or over. We do not knowingly collect data from minors without the involvement of a parent or legal guardian.

11. Changes to this Policy

We may update this Policy from time to time. The current version is always available on the website, with the date it was last updated. If we make significant changes, we will notify you by email or on the website.
